Special Meeting with 3 members of the only remaining 4 person Executive stepping-down
Saturday - August 17th at the Clubhouse – 4pm
Mark Windsor chaired this meeting after volunteering to fill in president after Gav stepped down
Details - Angela Smith also resigning from Secretary, Joining Gavin Borg (ex President) & Claire Scott (ex-Treasurer leaving only Richard Hobson as the only remaining club executive member

Establishing Club Management for 2024/25
STRUCTURE – Discussion into Club Constitution: Believe the Club Constitution is Model Constitution – So we should have 7 names (for voting). These would be:-
Pres, Vice Pres, Secretary, Treasurer, Committee Member 1, Committee Member 2, Committee Member 3
Note - You would have a subcommittee under some of these voting positions.
Note – A number of people volunteered to assist – With Mark Windsor in the Presidents role to talk to the volunteers about the positions they preferred to assist in – and covering the position required by the clubs Constitution.
Action – Plan to establish the new structure (ie update Model Constitution) and identify people in the roles by next meeting on the 4th Sept 2024 - Note a number of people expressed interest on the night - these people to be chased up after the meeting.

ADMINISRATION -Gavin to contact FairTrading regarding registration. Claire to talk to bank on changing signatories (upd sept) (see Attached documentation & motion)
Life members. (Meeting No1 – No Progress on this matter)
RACING / Calendar – Discussion on reducing our 7 rounds to maybe 6 or even 4 big rounds, Changing the first round of the season to a duathlon at the mount - (Meeting June – Maybe only 3 major rounds – 2 Dates booked at Mt Panorama – only Saturday Morning Available –
Gav: council approvals through (Waiting on police) – Dates required – MarkW is it cheaper to just close the road?)
Mark investigated use of the Dam as an option x2 rounds.
No progress on using Scotts or All Saints.
AMG - Will be a roster for each round, so that it is not the same people each round setting-up. (Meeting No1 – No Updates – on this matter)

Gav: council approvals through (Waiting on police) –MarkW contacted Council (Park & Gardens) on possible
event options – also will need to investigate getting access to Mt Panorama
MW to enquired at council about use of the Dam as an option
MW Investigated new course option – (mentioned to Parkrun) – meeting looked at diagrams
Womens Round - women round to be included into Team Round

The need to update the signatories on the clubs bank a/c was discussed in the Tri Club Urgent Special Meeting - Saturday - August 17th at the Clubhouse – 4pm
MW moved that - “the Positions of Club President (Mark Windsor), Club Secretary (Kirsten Weal), Club Treasurer (Gary Hamer) would currently be the 3 signatories on the account with two to sign”
