Council - SUBJECT: Notice of Proposal – NRMA Electric Vehicle Charging Infrastructure –
Domain Carpark, Stanley Street, Bathurst. -- The Licensee agrees that the Licensor shall have the right to temporarily restrict access to the Licensed Area, for any purpose, provided that a minimum three (3)
weeks prior written notice is given by the Licensor detailing its intention to do so,
other than in the case of an emergency, when no prior notice is required.

MANAGEMENT Committee
LUKE - Timing / RaceResult - I've tested the timing points and updated the firmware. They seem to start up ok but I haven't tested them with mats or antennae. The 3G mobile network will be decommissioned on 28/10 so they'll work for the first event but will then need to be updated.
LUKE - I have access to the RaceResult system and can setup an event in any format that is required. We may need to purchase some credit for online rego. It's not expensive.
LUKE – Square - We have a Square account ready to accept EFT payments. We can buy a small device but my phone is setup to scan cards.
LUKE – The have done an association search and are requesting that Gavin Borg be identified as the public officer. I suggest we wait until the paperwork is registered with Fair Trading and identify Gary instead. I have sent Square a message. UNtil this is resolved, they won't transfer payments to us.
LUKE – Paypal - I've also setup a Paypal account using the clubs ABN. They'll want some ID soon enough too. This is how we'll take online payments. Its a business account - not a personal one. So it will be handed over to officeholders as the committee changes over time. I am the contact at the moment but it should be handed to Gary H once we have email addresses.
LUKE – Communication - Our domain is still registered for the next few weeks. I'm working on reimplementing Office365 for non-profits which will provide us with a method of more suitable collaboration including email addresses. If approved, it is free for non-profits. It is vital that WE ALL start using it.
CARLY - I have looked into the Club Grants and from what I can see we could look at applying for a Category 2 and a Category 2 In Kind depending on what we were after in regards to support. Supplied a screen shot of this information - Here is link to a guide on how to complete the application ClubGRANTS-Online_Applicants Overview_0722.pdf I am happy to take this on if the committee decides that we do want to apply for a Club Grant.
ANNA – Designed & Produced Train&Try Concept and Promotional Slide --- It would be great to discuss this weekends training event though: - if anyone can attend to help - who will have keys for clubhouse - if anyone has a waiver!
CLAIRE – Supplied Financial Reports of year ending 2018,2019, 2020, -, -, 2023. To be submitted to Fair Trading.
JUNIOR COMMITTEE
Junior Committee meeting held Club House - 12/09/2024 - attendees- JESSIE, CANDICE, DOUG, KIRRALEE. Minutes
Discussed our overall goals for Junior Program - increase participation / promoting and supporting NSW All Schools triathletes – Assistance maybe from WRAS coach Tristan Harrison (& Mercedes etc)
Proposed dates were agreed - skills day formal discussed – Assistance counting bike laps on race day –
Discussed New Child Safe Standards – Processes around Photography
Discussed the promotion of upcoming junior events
Define & clarification the Joey and Boomer Categories
SETUP (& Projects) COMMITTEE
NICK & DARREN – Discussed the issues with Sulman Park Site for event 1
TOM – Talks with Marks regarding the use of the Morrisett Set – S Plants site for a Duathlon event. Also discussed getting access to Sulman Park to investigate the site.
MARK – meeting with Council to get access to Sulman Park and Facilities
NIKKI – Investigate Club Clothing – contacting suppliers and considering new design – also looking at replenishing stocks. (Note – this project is dependent on sponsors and promotional issues)
KATH – Cleaning up Club Store Rooms – Return old promotional items and taking rubbish to Tip etc
KATH – Investigating Proposed EV charging Station at Domain Car Park

Unresolved Discussion
EVENT 2
Concerns on Senior Rd2 event – ie Pillar Park Duathlon - 24th November 2024 – after showing the event details/diagrams to the meeting concerns raised. Decided to move back to the Management Committee to discuss when other events were raised.
The point is Sanctions and Permission are already overdue so very few options.
While the modification to the original Council may need to be more formally sent – Luke to investigate
There are reasons for this event – no1 connection to Clubhouse (toilets etc), no2 easy access for the seniors to come back to aquatic centre to help with the Junior Skills Triathlon, no3 few residents or Traffic management.
ACTION – Will require urgent discussion by the Management Committee
EVENT 1
The discussion on the Sulman Park Duathlon Setup make require bit more Discussion – in regard to setup and pre-race briefing etc. Luke is the person to work through this, as it involved placement of timing – one of the issues discussed was the run in and run out at the same end of transition – so it is an unfair and congested transition entry and maybe worth mentioning in briefing. – again require discussion by management Committee and maybe Setup committee..
