Life Member Guidelines and Nomination
The Bathurst Triathlon Club Inc. is proposing some club Guidelines (Regs/By Laws) for nominating Life membership at the Club; With a view to provide some standardisation when selecting likely candidates
 
Life Membership
A properly constituted Annual General meeting or Special General Meeting may appoint any person as a life member of the club in recognition of services rendered in promoting the interests and objectives of the club;
 
Guidelines
Life membership should be reviewed on three main points -
1 The importance of work and services performed by the candidate to promote the club’s objectives
2 A positive outlook and a supportive nature to all club activities and members
3 The membership period, positions held & amount of time and effort put into the Club by the candidate
 
Although any financial member can nominate a member for Life membership using the attached Application Headings below, the current Executive Management should monitor the club’s members for possible Life Membership nominees.
A member should be considered as a life member that have worked in the club’s upper executive team for 7 to 10years, with a proven record getting along with the members, and a continued positive outlook on the Bathurst Club.
Note1: Life Membership doesn’t necessarily require full 8-10yrs service or hold an executive team role. However, the applicant should play a prominent role and make an important contribution to the club of a continuous or long period of time.
Note2: With the increased insurance component in modern day fees, Life Membership doesn’t qualify for free annual subscriptions. However, on application the Triathlon club’s actual club membership component in Annual Aus Tri Subscription could be reimbursed to Life Members.
Note3: (To be Confirmed): There is a difference between a life member and a foundation member, and moving forward the Club should consider a members “Meritorious award”.

President Report 2024/25
NEW STRUCTURE:
I'm afraid it's tough times in community sport, not only because of growing expenses, but the complexity and constraints of insurance and litigation, the increase in policy and compliance imposed by the affiliating body, plus the jump in responsibilities with the obligatory registration and sports apps and increase in compulsory risk assessment process at grass roots sport.
To survive with have introduced a larger structure to the club in 2025 to share the load, it is hoped that we can lower the commitment and increase the social engagement in the club management team.
This all came to a head this year 2024/25 with the club collapsed in meeting No 2 (13th July 2024) when the President, Secretary resigned, after the Treasurer have already stepped down at the AGM (June 1st 2024)
An urgent Special Meeting was called August 17th at the Clubhouse – 4pm. Where a new structure was proposed using updated version of Model Constitution – with 7 voting positions - 4 being the executive group (Pres, Vice Pres, Secretary, Treasurer) the 3 special Committees headed by a leader with voting privileges.
The committee would preferably be 5 to 7 people and would focus on
1 Junior Development
2 Management & Planning
3 Setup (& special Projects)
Note – possible to have a subcommittee (or more specifically a working Party) attached to these committee functions
Comment - I want to congratulate and thank everyone involved in this year’s Management Team for making this new 22 person structure a success. We had a wonderful group managing the club and the great news is the majority will hold there position in 2025/26.

Grant
Very Grateful to NSW Triathlon and Office of Sport for our “Finish times not finished lines” Grant to allow us to again host the Bathurst Womens Triathlon in 2025.
Stakeholders
Although in a number of cases we pay for this service, we are very reliant on at number of stakeholders for our activities. Workcontrol Operations Pty Ltd – Manning Aquatic Centre, Bathurst Regional Council, Mt Panorama User Group (& Bathurst Cycling Club), WRAS, Bathurst Land Council, Parkrun, Clubhouse Partners Panorama Rotary and Swim Club…& Others, are all groups we must connect with to run our activities. We are grateful for there partnership during the season.

SUCCESSFUL SEASON
Given the club was in real danger of folding in July, the success of the season was amazing with a 30% increase in participation during the 2024/25 season on the previous season.

Race Entries:
Big increase in overall entries for the 2024/25 season with entries up just short of 30% this year.
2024/25 - 439 Entries (6 events) vs 2023/24 - 321 Entries (6 events – 1 Cancelled)
Actual Numbers are approx. as teams Juniors and late entries mean numbers are estimated in some cases.
Duathlons:
The introduction of the Duathlons for the first and last rounds also dropped the total entries for this season – as the entries for this seasons Duathlons as opposed those dates as Triathlon in 2023/24 was only 65% of the season prior. (2023/24 – 57 Vs 2024/25 – 37). However the Duathlons costs are minimal compared to the Triathlons with their Traffic and Pool costs.

CLUB CHAMPIONS - RESULTS CLUB SERIES FOR 2024/25
Points are awarded for each of the Club trophies, with points awarded for the Bathurst Club Races and the Region’s interclub events though out the season. Points are awarded as follows 30 points for the leading Bathurst Athlete in each event, then 29 points for 2nd best for the second best. So-on down to 21 points for the tenth best places Bathurst triathlete - and then 20pts for every finisher after 10th.
Note - as normal, the trophies can only be won by current financial members of the club; However, the club congratulates all members and guests at the events this year, with participation numbers well up on previous years.
Note1 – Points variations for a couple of the events this year. No Performance points awarded for the Women's Round event (just participation Pts) & no points for the Teams Round. This was documented at the time.

Central West Interclub Series 
Although not yet official it's likely we will finish fourth in the in the club series in 2024/25, this is lower than previous years. We again started the series well holding a second position before dropping to 3rd and then fourth in the final round behind Mudgee Orange and Dubbo.
In recent years it's become apparent the best athletes do not travel later in the season to the end of club events, however the main reason for the weaker showing in 2024/25 is the low number of club members.

Other Performances in 2024/25
2024/25 would be the best season in the clubs history for Podiums Finishes at World Championships, with medals at both Ironman and ITU World Championship Podiums.
The Club and local Bathurst Schools had an excellent showing at the 2024/25 All Schools Triathlon in Penrith.

With the Caroll Scott memorial initially the club championships, we introduced a club age group championships this year. We believe the promotion work well we expect to do it again next year. Age Winners on the day: -

BRANDING & CLUB PROMOTION
It was decided at the start of the season that the club should work on its branding and profile.
We continued with the same T shirts however the clubs tri suits have been updated (thanks to Nikki for this)
We have continued to work with local media, strengthening the connection to TV (7News). Also worked on social media profile increasing followers to 1.4K.
The Club has continued to connect to charity including a fund raiser for the Women & Children Refuge 

Finally to make our triathlons more promotable, this season each triathlon was given a theme:-
No1 NSW Triathlon & Office of Sport Bathurst Women's Triathlon – was the 7th running of this major event   
No2 D2F Cityfit Christmas Triathlon - was the annual teams triathlon challenge.
No3 Capital Chemist Aussie Day Interclub Round – not only the Interclub promotion but we hope to further develop the Australia Day connection.
No 4 Bathurst Physiotherapy Carroll/Scott Trophy – hoping to develop the Age Group Racing

NEW COURSES
Another major objective for the 2024/25 season was to search for more course options. There are major costs with running racing at the Stanley St site, plus I worry how reliant we are with our event partners with a break in relationship with any of these stakeholders racing could stop instantly.
This year another stakeholder added to the Stanley St race venue with NRMA gaining approval to put an EV charging station in the car park next to the clubhouse and blocking the normal route from the pool to the transition.
The council has been in touch has agreed to write in the conditions of the NRMA lease that triathlon club can still close Stanley St for their events and prevent cars from using the domain carpark for charging during that time. Yet I am nervous about this relationship, I have tried to communicate with the electric highway forum which is the communication channel for these NRMA EV stations, but admin refused my application.

Other Course Investigations:
We have successfully got the Sulman Park Duathlon Course is up and running.
We have also attempted to create an Enticer event which will provide a stepping stone between the junior and senior racing. While I believe this to be a very important project the concept hasn't taken off yet even though we have identified a course.
Sadly we have being in negotiation for a number of other courses is little success:-
Have Investigated a course at Ben Chifley dam - and contacted council But have not been able to commence discussions.
Have also contacted the show ground about use for that venue but no formal replies at this point in time.
Raised the use of developing courses at the pool complex at the Manning Aquatic Centre Bathurst CNF Discussion specifically the club using and developing the buffer area between the pool and the residents; we plan the raise this further in the coming season.
Raised the creation of a track in the Bicentennial Park cycle track with Councils parks and Gardens (using the track that Park Run uses), Council suggested we have to cost a concrete track with special focus on the drainage plans.. 
Also discussed with parks and gardens the use of the area at the bottom of Rankin street (the Bathurst Pillar park area) as a Duathlon Transition – at this point council suggested they are worried about us being on the grass in that area.

Initial JUNIOR COMMITTEE REPORT Attached - Mon, Feb 17 2025
The Wallabies Junior program has developed this season with lots of new and enthusiastic young triathletes joining our ranks.
The Boomers and Joeys had a modest showing at the season's opening duathlon and numbers have grown throughout the season to finish with multiple races being conducted for both Joeys and Boomers due to healthy numbers.
The Junior Committee tried lots of new strategies to help reduce wait times, to make the races more efficient, to keep our children safe and see them achieve their potential. We have moved to the Joeys going first so they do not have to wait as long. This was positive at the final triathlon. We changed their carpark entry and exit which seems to have reduced confusion and will become the new normal for them.
For the Boomers we have moved to provide an intermediate race that allows them to step up into longer distances in the safety of our closed road and to be timed so that they can track their progress. This Enticer race is one encouraged by Tri Australia and is a great way to encourage our athletes to challenge themselves in a safe and supportive way. Next season we will look to have only one race for the Boomers and encourage those capable of the longer swim and run to complete the Enticer.
We have one race left at the club's Duathlon in March and we cannot wait to see you all there.
We have thoroughly enjoyed watching all of our regulars and new junior athletes alike love the sport as much as we do. We hope you keep happy and healthy in the off season and we look forward to welcoming you back to the 2025/26 triathlon season.
A big thank you to all of the volunteers who help run the junior program at each event, to the organisers of the events and those who support in the timing of races, the parents and carers who bring their children and supporters who ensure their achievements are celebrated.

Information / feedback to Council on EV charging Station
Do you have any comments in regards to the proposal for electric vehicle charging infrastructure at the Domain Carpark in Stanley Street as detailed in the proposal?

I have a major concern about motor vehicle infrastructure being pushed into the green space at the Domain area which is an area of great historic significance to the city. The proposal from NRMA plans to cut the club house of a number of community groups from the Manning Swimming complex. Wouldn’t it make more sense in these times childhood obesity and increased childhood anxiety and mental health issues to expand the general junior recreational areas around the pool complex. It's hard to imagine how anyone could offer this precious green space to a motoring association given Motor vehicles have such a high priority in the Bathurst city centre already. I would encourage everyone especially the council planners to focus on preserving that precious green space from the swimming pool to the river park rather than push transport and motor vehicle infrastructure into that area. An example of the problems this electric vehicle fast charging station at the old Domain site would create would be the blocking of local triathlons specially the junior events which are limited to this area.

Treasurers Report

Things were a little challenging to begin with. Having little experience with the club and none with Triathlon NSW it was all a bit of a learning curve. Initially getting a picture of where the club was sitting financially and in relation to compliance took a bit of effort.
We are now up to date with our details with Department of Fair Trading, The Australian Tax Office and the Australian Business Register, each of which were very outdated. Returns for the Department of Fair Trading have been lodged for all outstanding years.
Thankfully the club was in a very strong financial position with the opening balance 1/7/2024 of $21,496.52. Our closing position year to date is $19,923.91. When considering this balance, it is important to consider the following
 $2000 sponsorship outstanding, Mark Windsor to confirm if this will be forthcoming
 I believe we still have 1 invoice yet to receive from Work Control and at least one
from Belgravia.
The club is extremely grateful for the sponsorship support it has received from D2F/Cityfit, Bathurst Physiotherapy and Capital Chemist. We are also fortunate to have received $1500 in support from NSW Triathlon for running the Women’s Finish Lines not Finish Times round.
Looking forward to 2025/26 I believe it is important that we focus on setting entry fees that cover the costs of holding events. Sponsorship money is becoming increasingly difficult to obtain and the costs of running triathlon events especially road control and pool entry continues to increase.
I am also extremely concerned about the NSW Triathlon push to limit ODL’s to two per person annually. In my opinion this disadvantages clubs as opposed to the big event promotors like Elite and Ironman to whom these restrictions do not apply and who have no interest in encouraging people to take up membership. Bathurst is also in a unique position for our interclub events where we incur significant costs to run our events where it is my understanding the other clubs in our region do not. I feel it is time to investigate if we can make some effort to recover costs from participants in the Interclub event we host.
The increased participation numbers in 24/25 provide the most optimism going forward, If we can continue that trend and convert some of those participants to members our financial position as a club should be reasonable.
