Tri Aus Club Webinar - Club Grand Final feedback survey
The Session involved - Starting Line and Aus3 + Explore / JustGo – Class Management Trial / Member Hub / National Integrity Framework update and the AusTriathlon Club Grand Final (National Club Championships) Club Grand Final Feedback.
I was double booked for this meeting – plus I felt the Club Grand Final seemed very lowkey.

BDSRC – I have forwarded a report for consideration by Council. In summary it included --
1 Info on a very successful 2025/26 Summer Season. - Given the tough times in community sport we have had an amazing year with record numbers in most of our club events. Between 200-300 in the Annual Australia Day Triathlon.
2 Problems – Congestion at our Stanley St site, Council approving an the NRMA’s EV Charging Station where we race the Kids Events -- Huge rise in Council Costs - 1/3 share of 2025/2026 Levy charges for Clubhouse. $1,539.97 up from $766.50 last year - Yearly Lease: Clubhouse 8 Stanley Street $990.00 up from $700 Flat ( the new lease goes up every year)  - Annual sports maintenance fee – waiting for the invoice

Letter to Council -- Also sent a letter to the BDSRC local government Representative Sophie Wright on the “Increase in Costs for Bathurst Triathlon Clubs Clubhouse”
BDSRC Feedback  - No feedback at this point on Report or Sophie Wright Letter – but we did get Correspondence on nominations for the annual AWARDS – and the BDSRC has sent an invite to the Awards Night. These nominations are the Champions/Award winners from last year AGM.. (plus Team Tri Club Champions 2025)
Also, due to the individual awards being picked by gauging the level of competition – ie state National International – anyone attending the Worlds in 2025 got a nomination. 

Community Network Forum - Bathurst Tri set an apology -
I was away for the Community Network Forum – at Wollongong Nationals – so sent an Apology to the Manning Aquatic Centre – and a report – which was read out.

2025/26 Presidents Report
Been a very successful year – Our stated objectives over the last two-year was to increase Participation in both Junior and Senior Events and secondly establish some back up courses.
We have successful in achieving both these objectives - With over 200 competitors in the Australia Day Triathlon, including 50plus juniors the event was one if the biggest Triathlons ever held in Bathurst.
After plenty of discussion with council we have been successful in running a separate event (a Duathlon) on a new course at Harris Park. While the format of this event was not as popular as our Stanley Street events, it does allow a backup venue in the future.
Other success included –
Safe and largely problem free racing in the current season, I do believe there was a lot of experience officials managing the racing in 2025/26
Further establishment of our brand and profile in Bathurst – including the further development of the four main Triathlon events at the Stanley street site, with themes developed for each of the events, and inclusion on the Bathurst Tourism and What’s On Calendars
Plenty of club activity away from Bathurst, including World & National Age Representation and Podiums.
Problems – included extra expenses this year – which involves difficultly in retaining cash sponsors. Also a growing problem with more congestion at the Stanley Street Venue and official membership only growing slowly, (ie plenty of ODL as opposed to taking out full membership)

We have increased our club membership to 46 in 2026 - However given we had 150 separate individuals from the Bathurst Region racing (ODL) during 2025/26 less than 30% of Bathurst District Racers fully joined the Club.

PERFORMANCE

3 National Championship Podiums – 2 titles
4th in the 2025/26 Central West Championships – Bathurst 311’s points was an increase on recent years however our low “full” club membership was the major factor why we did challenge for the title this year.
Result - 1 Orange Piranhas 506, 2 Mudgee Red Devils 490, 3 Dubbo Hippos 484, 4 Bathurst Wallabies 311, 5 Cowra Cobras 71.

The Club Administration attempted to be accessible and responsive with 10 meetings held during the 2025/26 season, (although the 19th May 2025 was electronic and didn’t prove to be that successful on dealing/managing decisions). Conclusion   
The Figures clearly show that the Bathurst Wallabies Triathlon Club 2025-2026 season was an unprecedented success in participation and the development of new racing venue possibilities in the future. Big thank you to the whole club Administration Team who are all listed below - everyone has worked hard and offered the club great support in our twentieth year.
Special mention to Luke Patterson and Kath Stutsel who had to sit the events to ensure everything ran smoothly, while Gary Hamer was great support for me during the year. However, I could list everyone in the management team for their great support this season.

Clubwomen and Clubmen awards were won by Jessie Adams and Darren Fenton who both were outstanding in their support of the club’s programs.
Jessie Adams the clubs Junior Coordinator had a record-breaking season with the junior racing.
Darren Fenton is a workaholic on the Setup Committee and was an obvious candidate for the Clubman Award.
Club Champions Series – Very Exciting to have 150 athletes scoring points in the Club Championship series in 2025/26 – winner where Men Mark Windsor and Amelia Kirby the Womens Champion for 2025/26. It was exciting to watch Amalia this season dominate the women’s championship series this years after coming through the clubs junior program.

2025/26 Treasurers Report
Notes to Profit and Loss presented.

Membership income: reduced from $1151.60 to $193.64. The odd numbers are caused due
to fees using the stripe payment system through Triathlon Australia. That aside the
reduction is due to the decision in 2025 to reduce the Club Membership Portion of fees
from $20 per adult to $5.00. This is possibly the easiest way to increase club income as
people that are going to join are probably not going change their decision to join over $15.
We currently have 3 premium members, 1 social and 41 standard members. As a club we
need to continually encourage people to join by sharing the membership benefits of
insurance while training and competing, the reduced/free cost of competing in the interclub
events and something that is often overlooked the partner benefits available through
Triathlon Australia, Discounts on Garmin, Form and other fitness brands along with pre-
entry for some sought after events like T100 on the Gold Coast. It would also be good to
see TA lobby large event providers like Ironman and Elite Energy to provide discounted
entry to members to at least offset the ODL part of entry fees those businesses charge all
competitors.
Race Entries -inflated in 2025 due to most of the Race Entry money in 2024 sitting in square
balance.
Sponsorship - is very hard to obtain, as the economic environment continues to be hard it is
hard to see where sponsorship money will come in from. It would be great to see a club
sponsorship coordinator to be able to follow up on possible avenues like the RSL Club,
Leagues Club, Bathurst Council Sporting Grants etc.
FLNFT grant – Follow up required.
Timing Income – Will have to double check that line.
Council Expenses - expected to be billed in next few months which will impact the current
year loss.

Expect the end of year loss to be closer to $2000 or $3000 by the time the above factors are
taken into account.

Summary – Biggest factors impacting position going forward are
 memberships and the club membership component
 sponsorship income

 cost of putting on events and the need to charge enough to recoup at a minimum
ODL, Pool and Traffic Management Fees, Especially Australia Day Triathlon. We get
charged pool entry even though the pool is free entry all day after the event. We
currently provide free entry to Aus Day Tri for TA members. Other clubs particularly
in the Sydney areas include commercial events like Husky, in their interclub leagues
which come with heavy entry fees, why are we so adverse to charging enough to
cover our costs. Fair enough that Dubbo, Orange and Mudgee run their events cost
free but that is not the situation we are in.
 Council Fees – apparently some relief is available through the Bathurst Sports
Committee needs to be investigated and followed through.
 Other event opportunities – our event patronage is increasing, assuming that
continues is there the opportunity to return to a 5-triathlon season, or are their
opportunities to run other events or build on the duathlon events.
All things considered with a closing bank balance of $16828 we are in strong financial shape
for the next few years, but if we continue to lose $2-3k per annum that will diminish quickly.
Need to look at, at least breaking even as a club.

1 LICENCE RENEWAL Update – seems we have agreed to the new terms !! – (strange as haven’t properly signed off on anything) as expected we are seeing the actual costs and the licence fee only part of the story.

20YR PROMOTION – Had no suggestions and little enthusiasm - But I think we have to do something. -- So planning to have a low-key reunion of all present and past club officials, competitors and anyone interested in the sport - at the club house, with a plan to get some photos of present and past club officials for the club archive. Not expecting many people but will have a bit of food and a presentation on the history of the club for 45min – it will be open to everyone. Certainly, happy to take any other suggestions
AUS TRI / NSW TRI – still having trouble clearly sanction duties – the Australia Day Tri – still awaiting sanctioning.
INTERCLUB – Last meeting decided to again run free entry for members – Have Emailed the other clubs.

2026 CARROLL SCOTT MEMORIAL Triathlon (Sunday 15th Feb 2025)
We covered this event at the meeting No.6 (Wednesday 14th Jan 2026) – The Meeting decided to use a Club Champs traditional format to further establish historical race profile of the event – COURSE - 300m Pool Lap type Swim with a Wave Start, 15km 11mile track Cycle, 2.5km River Path Run Out and Back.
CAMPIONSHIPS - Along with the Carroll Scott Memorial Trophy – this event determines the Bathurst Wallabies Age Champions for the year. The title going to the Member of the Club that wins of the following Male and Female Age Categories – under 19s, 20-29, 30-39, 40-49, 50-59, 60Plus
JUNIORS – There will be a both Junior Joeys and Boomers participation events after the senior events with the Briefing planned for just after 9:00am -
ENTRY - TA Members $15, Non-TA $30. -- Junior participation events - $5 / Registration – Stanley Street Clubhouse. NOTE1 - Compulsory to enter on-line prior to race day

Hi All, Apologies if it looks like a novel but it's worth documenting the Interclub scoring history and changes.
I spoke to Adam Wicks at NSW Triathlon yesterday just to confirm my understanding of the Central West Interclub Point System for this year.
As most of you know I'm a numbers person so like to know how it all works. I believe each club should be able to estimate their score from each round with certainty when the results are finalised. 
There have been a few changes this year in the way scores are collated and published by NSW Tri.
They are now using a specialized software program put together by Billigence to come up with both participation and performance points and MVP rankings.
As you know the Central West Interclub Series has been going for many years and over the years the scoring system has been modified or improved to ensure the competitiveness between the clubs.
Since NSW Tri took over management/scoring and publishing of results for the Central West Interclub Series 7 years ago (when it introduced the Interclub championship concept to all clubs in NSW), the Central West have had a slightly different scoring system to the rest of the Interclub leagues. The principal reason being the unique way the Central West Interclub league conducts its events - with each of the clubs hosting an Interclub round and almost all the participants being club members in the Central West.
Most other Interclub leagues use commercially run triathlon events and/or use NSW Tri Club Champs as the events to gather points for their clubs.
For many years the Central West scoring system has included both participation points and performance points for both the Interclub race and the super sprint (short) race.
No points of any kind have been allocated to the junior events such as little devils and big devils as these are designed to be non competitive/novelty events per Aus Tri race rules.
Awarding points for both sprint and short course races was believed to encourage more participants from each club to race at the other Interclub events - not just the ones who have the confidence or ability to do the Interclub race. This adds value to the TA/Club membership by offering more local events.
The max out score of 150 per event means that including the shorter distances points does not adversely affect the clubs that travel and race well at the Interclub distance, it just allows the clubs, who may have less confident members (or older/injured members) to encourage them to participate for the club and contribute to the points - building club camaraderie.
Participation points are based on the number of 12yrs+ registered club members doing the Interclub and Super Sprint events when compared to 12yrs+ standard or premium members registered in the club at 31st May the previous season. On this basis (and the distances normally covered by the super sprint or short course events plus the Aus Tri Race rules) the minimum age for registration for interclub points should be 12+yrs.
This year those points are as follows;
Participation Points
5% of club members race and finish = 15 participation points
10% of club members race and finish = 30 participation points
20% of club members race and finish = 45 participation points
Participation Point Rules
A clubs membership number is calculated as the number of members aged 12+ from the end of the May 31 of the previous season.
If 5%, 10% or 20% of a clubs membership is not a whole number, the required participant amount is rounded to the nearest whole number e.g 10% of a 64 member club = 6.4 members – therefore the club requires 6 members to race and finish for 6 points. 10% of a 67 member club = 6.7 members – therefore the club requires 7 members to race and finish for 6 points.
Smaller clubs with less than 20 members will be measured for participation points as if they are a club of 20 members.
If a clubs required participation is calculated as one member for  both 5% and 10%, an extra required participant is added to the 10% requirement, meaning they would need two participants.
Athletes who compete at two distances over an event weekend e.g. Sprint Duathlon on Saturday, Standard Triathlon on Sunday will count twice towards their Clubs Participation Point tally.
Performance points
In past year's performance points were allocated as 2 pts for 1st, 1.5 pts for 2nd and 3rd, 1 pt for 4th and 5th. The shorter distance was allocated 1pt for 1st, and 0.5 pts for 2nd and 3rd. Performance points were previously allocated in 5yr age groups. Participation points were 3, 6 & 9 points. The max out was 35 points.
Last year the performance point system was changed to the current 10 pts for first, 9 pts for second, 8pts for third - down to 1 pt for 10th. Last year the super sprint/short distance for the Central West was awarded half the normal performance points - 5 pts for 1st, 4.5 pts for second and 4 pts for third etc. The 10 yr age groups were introduced as our smaller event numbers blew out the overall points with the 5yr age groups.
However with the new software system does not allow for half points to be allocated, it will only allow full points as per below to whichever races are allocated performance points.
I believe there is still value in having full points allocated to both distances. Someone who travels to each interclub race and earns points for their club is a valued member.
The max out points of 150 ensures that the points don't blew out between the clubs. If you have 20% of club members (12+yrs) turn up and each member is top 1-3 in their age group then approx 10-12 members would ensure the max out is reached. The max out or age group spread may need to be reconsidered if every club maxes out at each race but history shows that most clubs max out at their own event and perhaps their closest interclub but rarely at all events.
Unfortunately the allocation of performance points are included the MVP list on the NSW Tri Interclub website. Adam Wicks has indicated that if it was important to the Central West to not include the super sprint/short course participants in this list he could manually remove them from the online MVP list - leaving only the athletes who do the Interclub distance.
I may be wrong but I don't believe any club uses the MVP Interclub list to solely determine the overall MVP of the club (awarded by NSW Tri at NSW Tri Club Champs) without taking into consideration more than the races they did and their overall performance. (Each club is eligible to nominate one member to receive this award - if desired).
The performance points are as follows
1st   10 Performance Points   6th   5 Performance Points
2nd   9 Performance Points   7th   4 Performance Points
3rd   8 Performance Points   8rd   3 Performance Points
4th   7 Performance Points   9th   2 Performance Points
5th   6 Performance Points   10th   1 Performance Point
*Points will be allocated to the top 10 from each age group division.
*Athletes who compete at two distances over an event weekend e.g. Sprint Duathlon on Saturday, Standard Triathlon on Sunday, can score Performance Points in both.
Max Out
Clubs can earn a maximum of 150 points at each event of the Regional Interclub Series. This point equalisation strategy will be implemented to allow clubs of varying sizes to compete against each other.
SUMMARY
Over 12+yrs for both participation and performance points. Performance points allocated to both the Interclub and Super Sprint/Short distance 10 to 1 as above in 10yr age brackets. Age based on the Age a member is at 31/12/2025 so you don't change age groups in the middle of a season.
I hope the above gives clear guidance as to what the current point scoring system will produce.
As the Central West Interclub League we can have an influence on the max out points, which races receive performance points and the age group brackets but I feel since the series has started for 2025/2026 that we run with the above for this year and see how the numbers work out. Mudgee already maxed out at the first event so none of the above changes the points from Round 1.

20YR PROMOTION –
hoping to do something for the 20th year – Suggested a talk & club and a reunion type thing in March -  (Council have asked me to do a talk with Autumn Colours Festival so though that could be part of the night) – Little discussion - so happy to still take further suggestions on possible 20yr celebration event.

AUSTRI / NSW TRI
Currently the sanctioning portal has been choked by a clumpsy results input to close off an event line in the portal and generate the ODL invoice – discussed this with Adam after Mudgee Interclub – and he was going to raise with TRI Aus at Gold Coast meeting – We didn’t discuss this at meeting – so update next meeting

INTERCLUB -
Also discussed the Interclub results system and costs -possibly charging a fee – also getting errors in results fixed - Meeting suggested that maybe Bathurst could of handled feedback a bit better and maybe try to bring in a charge next year.

All input with Pool, Work Control & residents seemed okay at Triathlon 1 – still a bit difficult to work out the correct process for informing the NRMA of an event but seemed to be okay - Also few problems with Mt Pam Site Management but all fixed okay.

Wed, Nov 5, 8:18 PM -- BUSINESS ARISING FROM MEETING 4 (30/10/25) ---
All went very well at the Council Meeting at Mt Panorama.
In fact I have been looking to open negotiations between Council and NSW Tri for a state level event promotion at Mt Panorama in the future. More on that later.
I have the keys for the Harris park and I am planning to go to the Park on Saturday Afternoon (3pm) with brooms and blowers etc to check the Harris park course, as it will take a bit of setting up.. Really much of it is just a paddock of tar so the courses need to be mapped out.
COURSE ISSUES
Top (North West) Corner does require blocking off – this road is closed but we need to open the Gate so we need to prevent any traffic coming onto the course – attached is the plan
Neutral Zone – dodgy section at the Harris park spectator gates entrance. As discussed with the council we are using the same course here as the Rotary gravel ride (as a precedent). Have permission to remove some pegs in the area, will require some sweeping to set up the course.
Transition and parking will need to be clearly defined – as Bikes will be lapping fast through this section -- see photo
Bit worried we may not have enough traffic Management Stuff – will need more Warning Tape – (does anyone know where you get that from)
While this event will get performance points for the club Championships, we are only expecting a small field, however the main aim is to trial the new venue. We shouldn’t have any overheads for this event so I will check with the executive about free entry for all club members.
Sunday morning should be a normal process – Big Thanks to Kath who will be at the Clubhouse early Sunday to set up rego at the mount. Likewise Luke will be also setting up Sunday an doing race entries

REGARDING - Annual D2F Cityfit Female Triathlon - & support events 23/11/2025
Already had the Meeting for the Women’s Race – But quick review ahead of the race on the 23rd Nov 2025.
Decided at the last meeting (2wks ago) that the format for the Annual D2F Cityfit Female Triathlon To remain the same as last year –
The Event noticed has been posted on Facebook.
The event diagrams for the 3 different races to be posted early next week. (same courses as events at start 2025)
The Women race again offers the “You Decide” format where you can opt to just ride for 20mins on the Stanley Street Lap course. (also a u shaped 100m swim if preferred.
The Mens event (which Starts at 7:55) is just a standard short course event
Junior Racing (Joeys & Boomers) is planned to have a briefing just after 9:00am – will send out a separate email to see who is available to assist with these events.
Entry Fees – proposed is $25 Non-members, $15 TA Members, Boomers $10, Joeys $5 – please review and send comments – I guess the Boomers are being timed hence the $10 charged – but if timed we will have to upgrade their one day licence – Luke P will make the final call on this.
Swim – Rolling Start both Men and Women. All Men first – 5 min break – then 11 mile track women (Self-seeded – in pairs) then Stanley Street Women (again self seeded)
Cycle – Women on Stanley St can do 8 to 10lap ?? or 20min – we are not counting. NOTE all riders do a lap of Stanley to Finish the Cycle leg.
Run – is a lap on the River Course (Denison bridge first).

1Guessing we would be opening-up and set up the racks from 6am – Just let me know if your available to help.
2All Saints have their Junior Triathlon next Wednesday – which is a big deal.. they will actually have all the racks, so coordinating that at moment.

G’day Gary, Thanks for reaching out. I think what you’re proposing is a great idea, and NSW Triathlon would be fully supportive of the concept. I read both documents and conceptually I agree with what you have written, but I just have a couple of suggestions:
Triathlon Australia is now called Aus Triathlon 
It wouldn’t hurt to research what level of insurance (if any) that Cityfit/D2F patrons have. If there is some insurance then you should mention it (but mention it in general terms – don’t be specific). That would be another reason for them to use your sponsor.
As you are promoting this activity there can be a tacit expectation that anything you promote is inherently safe. I suggest that you include a rider that mentions that:
participants must obey normal road rules;
NSW legislation does not allow road racing without formal sanctioning approval, and these activities are not formally sanctioned;
you should seek medical advice before undertaking any prolonged strenuous activity;
you should ensure that your equipment is in good working order prior to commencing training,
etc 
Even though you have already mentioned it, I think it’s most important you reiterate that this exercise does not come with it’s own insurance. This is because, as you rightly pointed out, we have no control over the various training environments. So I’m asking that you specifically include the following question and answer to the FAQ list please:

A. No, as mentioned earlier, all of your training activities will be at your own risk. will we need to, or will it even be possible to add this into the sanctioning portal? No, we can’t include it in the online sanctioning portal because we can’t sanction it.
Do you have any suggestions as to if any liability to the Bathurst Wallabies and or how to address/limit it? The additional FAQ answer should cover that. Simply speaking, you should state that you accept no liability.
 Do you see any other issues that might arise? No, apart from what I have raised above.
I can't see that we can enforce membership on people that wish to participate. They are individuals that are training in environments that we have no influence over. Do you think I am correct in this assumption. Yes, you are correct.

Initial Plan -SUMMER 2025/26 BATHURST TRI CALENDAR
Plan is to have a 4 Triathlons in 2025/26 – same as last season.
Proposed to have a triathlon in November and December 2025 and then January and February 2026. We are planning 4 further Duathlons at Mt Panorama – starting August 2025, then Sept and October 2025, and the season final in March 2026.
Dates are difficult to lockdown, but the proposal is --

MEMBERSHIP:
Club Rego Fees (Tri Aus Membership) are due – along with the Australian Triathlon membership there is a club component where clubs generally charge around $50. At the last meeting the decision was to cut the Club Component to keep the Tri licences cost to a minimum. At this point it's likely the club component to be $5 pending on discussions with Aus Tri.

Hi all  - been in touch with all four clubs and everyone agrees In principle of continuing with the Western division cycling championships - Although all agreed it should not be a burden on the host club given the difficulty in running cycling events these days. The email from Bathurst cycling club formed the basis for discussions with the Western Division Clubs - Attached is a summary

WESTERN DIVISION CYCLING DEFINITION
NSW Western Division Cycling can still hold a place in the Auscycling Environment – mainly due to its great heritage. It should be noted that permission was sought from auscycling to run the Western Division E sport cycling championship in their national club series - which was granted 
More work is required on defining western division boundaries in the future (particularly when it comes to esport). But for now, (following precedent), the committee will be representatives from the 4 major centres. (Bathurst Dubbo Mudgee & Orange cycling clubs) noting that other Auscycling clubs ie MTB & BMX clubs in these centres could be included in the championships)

WESTERN DIVISION COMMITTEE
While the western division committee working parties guidelines was signed off under CNSW we will continue to use these guidelines: Current committee consists of -
Bathurst – Toireasa Gallagher, Mark Windsor (Chair)
Dubbo – Julie Farr, Matthew Gilbert
Mudgee – Carl Honeyman, Matt Webster
Orange – Neil Yeo, Mitch Bland

ESPORT CHAMPIONSHIP
With events becoming very difficult to host on the ground, the official Auscycling E sports championship is an opportunity to continue the western division Honor Roll without the worry of road restrictions and venue constraints. Numbers have dramatically dropped due to a change of the esport platform in 2025 but we will continue to run a championship this year. See below for the Western Division Esport Championship Honor Role
The 2025 Western Division ESPORT CHAMPS - are to be held in Conjunction with Round 5 of the Auscycling Esport Series on the July 10th 2015 -- 7:30pm.

WESTERN DIVISION COMMITMENTS
Hosting should not be a burden, but what the host is able to do. This may mean the Championship may be a variety of events, eg if the host is only running closed circuit criterum racing than that would be the title event.
To avoid stress we can pausing the Western Division Championship for the year when the host is unavailable. In 2025 Dubbo have hosting rights and will consider If I have the resource is to run a title this year.
Since the CNSW Guidelines the order of hosting is Mudgee, Orange, Dubbo and Bathurst – so the order is
2025 Dubbo
2026 Bathurst
2027 Mudgee
2028 Orange
Please Note –
1There is no pressure for the host Club to hold a title, however they can also hold multiple titles In different disciplines.
2The other clubs can apply to that year host club to run a title, if the host doesn't intend on running a championship in that discipline
3Keeping in mind the more relaxed approach, it is possible to announcing the date of a proposed WD championship as late as 4 weeks prior. Of course, this means there may be clashes with other clubs events on the same day.

COMMUNICATION
It is important to have strong communication lines between the western division clubs

So currently Communication between the WD committee (& Clubs) will be by email. In the past dubbo committee rep Matt Gilbert has organised online meetings And he may consider doing this if appropriate.
Also I believe that the WD committee being on WhatsApp - may be beneficial if it can be organised
